Payroll documents from the Inland Revenue Department (IRD)

Every year the IRD produces a Payroll Specifications document for the purpose of informing Payroll Providers what updates are required for their software.

It has a number of good examples and it can be used to question your payroll providers to help ensure your payroll complies with legislation.

Employment Relations Service (ERS), Department of Labour

The Department of Labour produced a Payroll Specification document to assist payroll providers to develop calculations that meet the requirements of the Holidays Act 2003 (including the changes made by the Holidays Amendment Bill 2004).

You can use the document to help ensure your payroll provider is compliant with the act.

Implementing the Holidays Act 2003

As a matter of interest, the Department of Labour commissioned this report in regard to the implementation of the Holidays Act 2003.

We think you'll agree it makes an interesting read.

What we don't do

Working for your business

Our focus is working with your business to identify a payroll package to best suit your needs. We then help you install it, develop payroll processes and ensure your payroll staff are trained in both the law and best practise.

If you are looking for a new payroll system, we can:

Knowing if your payroll is doing what it should be

How do you know if your existing payroll actually complies with current legislation?

You cannot take it for granted that the payroll application is getting it right!

It is not the payroll provider who will wear the cost if the payroll is getting it wrong, it is your business! This cost can be substantial (monies owed, interest, fines and legal fees).

Typically there are two areas that determine whether the payroll is doing what it should:

We are experts in this area. We can conduct a range of audits to suit your needs to discover any problems and what needs to be done.

We know the right questions to ask and have a range of audit tools that make this a cost-effective activity. All you have to do is provide the information we require, give us permission to ask questions from your payroll provider on your behalf and identify a sample group of employees that we will focus on for the audit.

A range of Payroll and HR audit services

We provide the following audits

Payroll (Holidays Act 2003) Audit: This audit concentrates on the calculations that are required to be conducted under the Holidays Act 2003. Access to payroll data is required. A comprehensive report is provided that tells you what was discovered, what gaps and risks are present and our conclusions and recommendations.

Payroll Compliance Audit: Analyses all payroll procedures (manual and automated), policy, forms and the payroll application to find out whether they comply with both current legislation and payroll best practise. A comprehensive report is provided that tells you what was discovered, what gaps and risks are present and our conclusions and recommendations.

HR Compliance audit: Analyses all HR procedures, policy, forms, etc. to find out whether they comply with current legislation and HR best practise (does not cover payroll). A comprehensive report is provided that includes what was discovered, what gaps and risk are present, along with conclusions and recommendations.

HR and Payroll Compliance Audit: This includes all three audits described above.

Please contact David now if you would like a no-obligation discussion of your payroll audit needs: david@dja.co.nz
